Refund & Cancellation Policy.

When money paid to data.cool is refunded, and when it is not. This policy is part of the Terms of Service; amounts come from the Fee Schedule.

1. Broker bond

  1. Refund. The $250 bond is refunded in full to the original payment method when you close your broker account in good standing at least 90 days after paying it. Good standing means no unresolved breach of the Broker Terms, no open owner dispute on your listings and no amount owed to us.
  2. Early exit. If you close your account within 90 days of paying, the bond is refunded once 90 days have passed, provided you are still in good standing.
  3. Forfeiture. If you breach the Broker Terms, we may keep the bond in full as liquidated damages (Broker Terms, section 7). The bond earns no interest and is not held in trust.

2. Broker Pro subscription

Broker Pro ($49/month) is billed monthly in advance through Stripe and renews until cancelled. You can cancel any time from your broker dashboard; Pro stays active until the end of the paid month and is not charged again. We do not refund partial months, unless the law requires it. If we terminate your account for breach, the subscription ends without refund. If we end Broker Pro for everyone, we refund the unused part of the current month.

3. Deal deposits

The 10% deposit paid on acceptance is credited to the price. It is refunded in full if:

  1. the buyer fails KYB, or the owner or data.cool declines to proceed, before the license is signed;
  2. the owner withdraws, disputes the listing, or cannot deliver;
  3. the sample or full export does not materially match the deal sheet and manifest, and the buyer rejects it in writing within the acceptance window stated in the license; or
  4. a defect in title, Mandate or rights is found before close.

The deposit is not refunded if the buyer walks away for convenience after the license is signed, or breaches the Buyer Terms or the NDA; in that case it is released to the owner, less fees, as compensation for taking the Dataset off the market.

4. Holdback

10% of the price is held until the buyer accepts the full export against the manifest. If the export is accepted, or the buyer does not reject it in writing within the acceptance window, the holdback is released to the owner. If the buyer rejects it for a material mismatch and the owner cannot cure within the cure period, the holdback, and if the mismatch is fundamental, the rest of the price, is refunded and the license ends; the buyer must delete the data and certify deletion.

5. Deal-fee invoices

Invoices for the balance of the price and the buyer fee are due within 14 days. Once a deal has closed (the license is effective and the price has cleared), the price and fees are non-refundable, except for holdback and acceptance remedies above, or where data.cool determines that the owner lacked the Mandate or rights to license the Dataset. Exchange and Clean Room fees deducted from owner proceeds are earned at close.

6. Chargebacks

Please contact us before disputing a charge. If you file a chargeback, we may suspend your account until it is resolved, contest it with evidence of acceptance and delivery, and recover any amount reversed plus Stripe's dispute fees. A chargeback on a bond or deposit that we are holding under these rules is a breach of the applicable terms.

7. How to request a refund

Email support@data.cool from your account email with the deal ID or charge, and the reason. We respond within 5 business days. Approved refunds go to the original payment method through Stripe; banks usually take 5 to 10 business days to post them.
